Role: Part-Time Freelance Executive Assistant (EA) / Founders Associate
Reporting to: Founder
Hours: Starting at 8 - 12+ hours per week, with scope to grow into 20+
Rate: c. £20 per hour
Working pattern: Minimum availability twice per week at the beginning and end of the week, for example Monday and Thursday or Tuesday and Friday. Ideally spread across three to four days for continuity.
Location: Brighton-based. This role is a mix of remote and in-person work, with an expectation of at least one session per week spent working in person.

Role purpose
The founder is a highly experienced leadership coach working independently with senior clients in the UK and internationally. The work is recognised for its depth, rigour, and seriousness, supporting leaders navigating complex personal, professional, and organisational challenges. The standard of work is high, and the trust placed by clients is significant.
The founder is exceptionally strong in work with people. Presence, judgement, and insight are core strengths. Operational mechanics such as administration, scheduling complexity, financial follow-through, and day-to-day logistics are not where attention or energy is best used.
This role exists so that the founder is not distracted, derailed, or diminished by the operational demands of running a practice, and so that the level of support around the work matches the care and quality within it. The EA provides a different but equally important form of support by creating structure, continuity, and reliability, allowing full focus on client work.
This is a high-trust partnership role. The EA is not expected to fix or manage the founder, but to hold the operational ground with competence and calm, ensuring the business side of the work does not compromise the work itself.

Key responsibilities
1. Finance & admin coordination
Raise client invoices accurately and in a timely manner
Follow up on outstanding invoices and payments
Pay supplier invoices and manage routine outgoing payments
Raise expense invoices where clients reimburse costs
Ensure expense receipts are collected and attached correctly
Track expenses and liaise with bookkeepers or accountants as needed
Keep a light, regular eye on bank transactions and flag anything requiring attention
2. Diary, scheduling & logistics
Manage the founder’s diary on an ongoing basis
Schedule meetings with awareness of; how often certain meetings happen, typical duration, time zone, virtual vs in-person requirements
Proactively book recurring meetings rather than waiting to be asked
Manage travel logistics when required, including flights, accommodation & calendar coordination
Ensure schedules are realistic, workable, and well-paced
3. Follow-up & task completion
Follow up after meetings to capture actions, decisions, and required follow-up
Maintain visibility of open items and ensure they are progressed and completed
Gently but persistently chase where needed
Take ownership of seeing tasks through to completion, rather than assuming they are complete once requested
Where tasks are loosely defined, help clarify scope, priorities, and time required before progressing
4. Organisation & light process tidying
Keep contact records and CRM information up to date
Build and maintain orderly digital filing and systems
Update simple internal documents, playbooks, and notes as needed
Track and renew annual memberships or subscriptions
Book tickets and logistics for conferences or events
Gradually tidy and streamline admin processes where it makes sense
5. Communication & coordination
Act as a reliable point of contact between the founder, clients, service providers, and other relevant contacts
Handle information with discretion, sound judgement, and confidentiality
Book meeting venues when required, for example when there is a day of meetings in London
Communicate clearly, politely, and professionally on the founder’s behalf
Engage confidently and empathetically with clients, some of whom may be under professional or personal pressure
Desired Skills
An experienced professional PA or executive assistant
Someone comfortable supporting a self-employed individual rather than a large organisation
Highly organised, practical, and dependable
Confident operating in uncertainty and with incomplete information
Proactive, calm, and comfortable following up without being overbearing
Strong written and verbal communicator with good judgement
Happy in a part-time, freelance role with steady, ongoing responsibility
Optional / bonus skills (not core to the role)
Experience supporting a founder, consultant, or solo practitioner in a growing practice
Ability to support light business development or growth-related activity, such as coordinating projects, supporting proposals, or managing logistics around marketing or profile-building
Experience handling or coordinating sensitive client relationships where discretion and judgement are essential
Ability to help extend existing work by distilling models, frameworks, or insights into clear, usable formats while preserving depth and intent
Comfort working alongside entrepreneurial ambiguity, without needing everything to be defined in advance
